PROWINS Editorial · 18 October 2026 · Guidance, not an event report
Ask what is needed
Before choosing a package, begin with a conversation. Does the organiser need printing, space, activity materials or someone who can teach? A modest contribution that meets a real need can make a practical difference.
Agree on something deliverable
Write down who will provide what, when it is needed and who will coordinate it. For in-kind support, specify the quantity and condition of items. For a learning session, agree the topic, time and equipment. These details help volunteers do their work with confidence.
Make room for local people
When gifts, printing or decorations are needed, consider local businesses that can meet the brief. Ask for a clear quote and pay as agreed. Supporting a community includes valuing a person’s time and work.
Recognition with permission
Agree where a logo will appear and how the sponsor will be acknowledged. If participant stories or photographs will be shared, obtain appropriate permission. Attending an event is not automatic permission to use someone’s face in an advertisement.
After the event, close the loop
Share what was actually delivered: materials used, sessions held and feedback people have agreed to publish. Mention anything still unfinished. A short, honest account helps build the relationship for the next programme.
